19 Dec Beacon’s Final Data Validation Rules: What Will Get 340B Claims Accepted or Denied
Beacon has published the full Data Validations Overview, and this is the document that will determine whether rebate submissions are accepted or denied once the model goes live. It is the most detailed and definitive guidance Beacon has released to date, and several items differ from earlier FAQs and webinars.
We’ve summarized what you need to know below. Please share with your billing team and your TPA. Getting aligned now will prevent avoidable denials in January.
Beacon Data Validations Overview:
Updated December Welcome Packet:
Beacon Registration:
What’s New, And What Will Actually Impact Your Submissions
Required claim fields are now final.
Beacon has confirmed the exact data elements needed for pharmacy and medical claims.
Pharmacy claims must include:
• Native (unmodified) prescription number
• Date of service (fill/adjudication date)
• Prescriber NPI
• Pharmacy NPI
• Correct BIN/PCN values
Self-pay BIN: 999999
Self-pay PCN: CASH
Medical claims must include:
• Claim number
• Claim line number
• Rendering provider NPI
• Facility/clinic NPI
• HCPCS or Unit of Measure
• NDC-11
If your system or TPA does not currently support these fields, especially claim line number, rendering NPI, and native Rx number, those gaps need to be addressed before submitting rebate claims.
Beacon’s Duplicate Rules Now Apply Strictly
Beacon considers a claim a duplicate when all identifying fields match a prior submission.
Pharmacy duplicates:
Rx number + DOS + NDC + pharmacy NPI
Medical duplicates:
Claim number + claim line number + DOS + NDC + service provider ID
(+ HCPCS modifier for wastage lines)
Different claim line numbers for multiple same-day administrations are allowed and will not be treated as duplicates.
45-Day Submission Window Reconfirmed
Claims must be submitted within 45 days of the date of dispense or administration.
If a claim needs correction, the original 45-day timeline does not reset.
WAC Purchase Requirement Clarified
Beacon now states clearly: WAC purchases must occur before the claim is submitted and must be made under your CE’s 340B account.
Manufacturers will validate this through wholesaler data.
NPI Validation Will Cause Rejections If Not Accurate
Beacon cross-checks NPIs against national registries.
- Prescriber → must be active, entity type 1
• Pharmacy/facility → must be active and eligible
• Contract pharmacy → eligibility will be verified through ESP rules
Inactive or mismatched NPIs will cause claim failure.
Quantity, Expired NDCs, and Wastage Rules Are Now Defined
- Aberrant quantities will fail validation
• NDCs expired more than 1 year before DOS will fail
• Wastage must be billed separately using JWmodifier
• Multiple same-day administrations must be aggregated unless your billing system creates separate claim lines
These details have not appeared in any prior written guidance.
HRSA Site Listing Will Now Be Validated
Beacon will check that your dispensing pharmacy or administering facility appears under your HRSA 340B ID (parent, child site, shipping address, or contract pharmacy).
Incorrect or outdated OPAIS listings may trigger submission failures.
Operational Reminders
Download your receipt file.
Beacon does not store it.
This is your only crosswalk between Beacon claim IDs and your native claim data.
Self-pay coding must be exact.
BIN 999999
PCN CASH
Plan Name/ID CASH
Bank letters must be dated within 180 days for registration and approval.
